Add New Assignment

This page explains how to create a new assignment using the platform. Assignments can be Audits, Checklists, Download File, Evaluations, Manuals, Quizzes, Trainings, file uploads, and Workflows. The process consists of 5 main steps:

  1. Assignment Type
  2. Assignment Options and Team
  3. Assignment Name and Content
  4. Assignment Action Taken
  5. Assignment Setup

You can click each step to see detailed information. At each step, youโ€™ll find these 3 navigation buttons at the bottom:

  • Discard๐Ÿ‘‰ Cancel the assignment process.
  • Back๐Ÿ‘‰ Return to the previous step.
  • Next๐Ÿ‘‰ Move to the next step.

Assignment Type

Purpose: Select the appropriate assignment format depending on the task objective. Options Available:

  • Audits ๐Ÿ‘‰ To evaluate compliance or performance against set standards
  • Checklists ๐Ÿ‘‰ To assign task lists or step-by-step procedures that users can check off
  • Download File ๐Ÿ‘‰ To provide documents users can download
  • Evaluations ๐Ÿ‘‰ To assess trainees or staffs performance or outcomes
  • Manuals ๐Ÿ‘‰ To distribute readable documents or SOPs
  • Quizzes ๐Ÿ‘‰ To assess knowledge using test questions
  • Trainings ๐Ÿ‘‰ To provide training modules or videos
  • Upload File ๐Ÿ‘‰ To request users to submit files
  • Workflows ๐Ÿ‘‰ To define a multi-step or multi-user process

Assignment Options and Team

Purpose: To ensure the assignment is directed to the correct users, teams, or locations, based on the nature of the task and how responsibility should be shared. There are two steps to assign tasks:

  • Assignment Options

    Choose how you would like to assign the task. You can select a team next to target users or network node.

    1. User Assignment

      Assign an individual task to each selected user in the chosen team.
    2. Node Assignment

      Assigns the task to a location or department (node). Any user assigned to that node can complete the task. You can also Enable Geolocation Tag so users must be on-site with GPS on to access the task. Only applicable for Node or Group Assignment.
    3. Group Assignment

      Assign a task to multiple users in a selected node. You can also Enable Geolocation Tag so users must be on-site with GPS on to access the task.
  • Select Team

    Select a team to target users or nodes for task assignment. You can select more than one team, depending on your need.

Assignment Name and Content

Purpose: This step lets you customize the assignment's title and choose the content template that will be used by the assignees.

  • Assignment Name

    This is the custom title you give to the task. Optional, but recommended for easy tracking and reporting.
  • Assignment Content

    This is where you select the actual content of the assignment. The available templates (e.g., Audit, Checklist, Quiz) depend on the assignment type you selected in Step 1.
  • Preview Button

    Click "Preview" to see what the content will look like for the assignees. Useful to ensure you've selected the correct template before continuing.

Assignment Action Taken

Purpose: Allows you to decide how and when the task will be assigned to the selected team or users.

  • Assign

    Assign the task to users or nodes based on the team you have selected. If you're unsure who the appropriate person in charge is but know someone who can identify them, consider using the Delegate feature.
  • Schedule

    Create regular and scheduled assignment. You can set a specific date and time for the task to be assigned. It can also be used for recurring tasks, such as daily tasks, weekly tasks, monthly tasks, quarterly tasks, or half yearly tasks.
  • Delegate

    Pass the assignment to someone else to assign it later. This feature is especially helpful when you're unsure who is responsible for conducting the assignment but know someone who can appoint the appropriate person.

Assignment Setup

Purpose: Let you automate recurring tasks with clear control over when they start and end, how often they happen, how long users have to complete them, on which days they occur.

  • Auto / Manual Toggle

    1. Auto๐Ÿ‘‰ The task will be automatically assigned to selected users when the scheduled date arrives.
    2. Manual๐Ÿ‘‰ you would manually trigger the task assignment later.
  • Start Date โ€“ End Date (Optional)

    Set the date range for when the task should be active. You can leave it empty if the task doesnโ€™t have a specific start or end time.
  • Durations

    This defines how many days users will have to complete the task after it is assigned. For example, if it's set to 3 days, users must complete it within 3 days of receiving it.
  • Frequency

    This determines how frequently the task is scheduled to occur. Typical options might include:

    1. Daily๐Ÿ‘‰ If the task repeats every day. Suitable for: daily opening/closing checklists, hygiene checks, etc.
    2. Weekly๐Ÿ‘‰ The task repeats every week on specific days (e.g., every Monday and Friday) which can be set in the Repeat. Suitable for: weekly team meetings, equipment inspections, stock reviews.
    3. Monthly๐Ÿ‘‰ The task repeats every month on a specific date (e.g., the 1st or 15th) which can be set in the Repeat. Suitable for: monthly reporting, supply ordering, performance reviews.
    4. Quarterly๐Ÿ‘‰ The task will repeat every 3 months on a specific date (e.g., the 1st or 15th) which can be set in the Repeat. Suitable for: quarterly audits, system upgrades, strategic reviews.
    5. Half Yearly๐Ÿ‘‰ The task will repeat every 6 months on a specific date (e.g., the 1st or 15th) which can be set in the Repeat. Suitable for: major deep cleaning, biannual maintenance, training refreshers.
    6. Yearly๐Ÿ‘‰ The task will repeat once a year on a specific date (e.g., the 1st or 15th) which can be set in the Repeat. Suitable for: annual inventory, policy reviews, license renewals.
  • Repeat

    This section lets you define when exactly the recurring task should take place, depending on the frequency youโ€™ve chosen in the previous field.

    1. If Frequency = Daily

      No repeat day selection is needed, as the task will already run every day.
    2. If Frequency = Weekly

      You will be asked to choose one or more days of the week. Options: Monday, Tuesday, Wednesday, Thursday, Friday, Saturday, Sunday.

      โœ… Example: Select Monday & Thursday if you want the task to run every Monday and Thursday.
    3. If Frequency = Monthly, Quarterly, Half-Yearly, or Yearly

      You will be asked to choose the specific day(s) of the month. Options: 1 to 31.

      โœ… Example: Select 15 if you want the task to repeat on the 15th of the month or quarter.

      Note: If a month doesnโ€™t have 31 days (e.g., February), tasks set on unavailable dates may be skipped or pushed earlier depending on the system logic.
  • Select Assignees

    This step ensures the task is directed to the right people based on the team or location chosen in the previous step.

    1. On the left corner, you can see a section labeled "Group Assignment". This section appears based on the team or network node you selected earlier in Step 2 (Assignment Options and Team).
    2. In this example, the selected group is: Thumbs Up @ Grand Indonesia

      Below that, there's a list of team members (Marsha, Mike, Stella, Tekson Teo), where you can:
